FOSDEM 2020 Open Source Design organisation

I like the schedule @belenbarrospena put together.
Very neat!

While I agree we can replace the OSD intro as an entire talk I think it would be great to do a quick (5 mins) intro when opening up the mic for project pitches. It may place the whole pitch-your-project in good context for anyone who might be there for the first time and not clear about what message they can give in their pitch.
Just an idea for whoever does the intro.

I am back in town and can update pentabarf and send out the schedule to the fosdem mailing list Monday morning EST (unless it’s already done).
Please let me know!

I agree that a quick 5-minute intro during the pitch your project session is a good idea.

I have updated Pentabarf. I’ll keep an eye on the FOSDEM website to make sure there are no errors on the schedule. I believe @ei8fdb has the emails to submitters drafted and ready to go, and was planning to send them today. Please coordinate with him if he needs any help.

Finally, if you have time to email the schedule to the FOSDEM general mailing list (fosdem@lists.fosdem.org) that would be great.

Since we can adjust it later, it’s already publicly available on FOSDEM website and it’s better to let people know, so that they could book their flights during holidays and come :slight_smile:

Now that we have that out and public I guess it’s time to start prep for the event.
I know we still have time, but I’d just like to get familiar with the items from the checklist and/or something outside that.

The next list items I see are:

  • Create promotional materials (stickers, banners) for opensourcedesign #43 | Deadline: 15 January
  • Organize the open source design dinner #62 | Deadline: INSERT-DATE
  • Handle the devroom logistics videobox | example | Deadline: INSERT_DATE

Can someone tell me what promotional materials we usually create?

I don’t think I’ll be to attend the dinner as my tentative plan is to arrive on February 1st morning as of now.

What is the videobox? I see it’s something about the AV recording of the talks in coordination with the FOSDEM people. What particularly do we have to do?

Any other stuff anyone has thought about or things from last years we ought keep in mind?

Can someone tell me what promotional materials we usually create?

This probably refers to the stickers. I believe we have quite a few of those at the moment. I’ll be bringing what I have to Brussels for the stand. We also have some A4 posters that @jan left with us at ApacheCon and some other bits and pieces.

I believe @ei8fdb has posted a poll already to check how many people are interested in going for dinner. I probably won’t join this year either: I’ll be knackered after the usability testing workshop!

I don’t think this applies any more. The FOSDEM video support is much more hands on these days. They will probably come, set up the video in the room, and monitor that everything is being captured. They also usually turn up in the room if anything goes wrong.

So, to sum up: not much to do really until the day itself! :slight_smile:

Hi all,

Just some information and logistics about our stand at FOSDEM 2020.

This year, our stand will be up only one day: Sunday, February 2nd. Yes, I know that is the same day as the devroom, and I did try to get it changed to Saturday, but no luck :frowning:

I am still waiting to confirm the setup time on Sunday, but a reasonable assumption is that we’ll be up from 9:00 to 17:00. Our stand will be in the Level 1 of the K building. More details about the location are available in the FOSDEM website: https://fosdem.org/2020/stands/

As usual, our stand will include a design clinic, which means projects can come and request a 15-minute consultation with a designer. I am sure we will not be overwhelmed by the demand for design advice, but some projects do come, so I hope you’ll all be willing to sit down with them and share your wisdom and expertise :wink:

The stand should be manned at all times by at least 2 people. As usual, the stand shifts are 2 hours. It sounds like a long time, but time flies while there: it is busy!

@elioqoshi Do you think we have enough stickers or should we order more? I believe we will need about 1000 (half the amount from previous years, since we’ll be there only one day).

I am not a designer, more of a frontend/UX developer. But I have had the past experience of working and connecting with @ei8fdb, @elioqoshi, @victoria-bondarchuk and OSD in general. So I am happy to spend some time in the stand.

I missed the deadline since I was waiting for my visa. Is it by any chance possible to include myself now?

Now that the conference is done I feel we should do something to collate and put up our gathering from the conference is some neat way online.

The task list already mentions this and copying the relevant ones below:
